This Privacy Policy and Personal Data Notice explains how personal data is processed when you visit the İbex Teknoloji website or contact us, in accordance with the Turkish Personal Data Protection Law No. 6698 ("KVKK") and related legislation.

1. Data Controller

Your personal data is processed by İbex Teknoloji as the data controller under KVKK.

2. Personal Data We Process

Depending on how you use our website, the following data may be processed:

• Identity and contact details: the name, email address and phone number you provide in the contact form.
• Business details: the company name, if you choose to provide it.
• Request and message content: any information you write in the message field (your request, project needs, information in the nature of a job application, etc.).
• Transaction security data: records automatically generated by our servers when you access the site (IP address, date and time of access, pages viewed, browser and device type).

Our website does not use any analytics or tracking tools for advertising, profiling or behavioural monitoring.

Only a simple counter that cannot identify you is used to show the total number of visitors: no cookies are used; to avoid counting the same person twice in a day, an irreversible digest made from the IP address and browser information with a random key that changes every day is kept only in server memory until the end of the day and is never written to the database or logs. Only the total number of visitors per day is stored permanently.

3. Purposes of Processing

• Receiving, evaluating and answering the requests, questions and suggestions you send through the contact form,
• Providing information about our services, preparing proposals and getting in touch with you,
• Evaluating interest and applications you submit through our careers pages,
• Keeping the website and information systems secure and preventing misuse (spam, automated attacks, etc.),
• Fulfilling our legal obligations and protecting our rights in potential disputes.

4. Legal Grounds

Your personal data is processed on the following legal grounds under Article 5(2) of KVKK:

• Processing is necessary for the conclusion or performance of a contract, provided it is directly related (carrying out the proposal and service process at your request),
• Processing is mandatory for the controller to fulfil a legal obligation,
• Processing is necessary for the legitimate interests of the controller, provided it does not harm your fundamental rights and freedoms (information security, prevention of misuse),
• Processing is necessary for the establishment, exercise or protection of a right.

5. How Data Is Collected

Your data is collected electronically from you when you fill in the contact form on our website, and automatically through server access logs when you visit the site.

6. Sharing of Personal Data

Your personal data is not sold, rented or shared for marketing purposes. Strictly for the purposes above, it may be shared with:

• İbex Teknoloji employees authorised to handle your request,
• server and infrastructure providers that host our website and database,
• competent public authorities and judicial bodies where a legal obligation arises.

If data is transferred abroad, the conditions of Article 9 of KVKK are observed.

7. Cookies and Similar Technologies

Our website only uses technical cookies that are strictly necessary for it to work. No advertising, analytics or third-party tracking cookies are used, and no persistent tracking data is kept in your browser's local storage.

• Form security cookie (Antiforgery): Prevents the contact form from being submitted by other sites on your behalf (CSRF attacks). Created only on the contact page. Duration: session, deleted when the browser closes.
• Temporary message cookie (TempData): Carries the success or error message shown to you after submitting the form. Duration: session, deleted when the browser closes.

These cookies are strictly necessary to provide the service and therefore do not require separate consent. You may block or delete cookies in your browser settings, but the contact form may then stop working.

8. Third-Party Links

Our site may contain a map link for our address, a WhatsApp link and links to our references' websites. When you click them you leave our site; the data processing on those sites is governed by their own privacy policies, and İbex Teknoloji is not responsible for their content.

9. Retention Period

Data you send through the contact form is kept for the time needed to conclude your request and for no longer than 2 (two) years after the request is concluded. Server access logs are kept only as long as necessary for information security and legal obligations. When the retention period ends, your data is deleted, destroyed or anonymised. If there is a legal dispute, investigation or legal obligation, the relevant data may be kept until that process ends.

10. Data Security

Reasonable technical and organisational measures are taken to prevent unlawful processing of, access to or loss of your personal data:

• Communication between the site and your browser takes place over an encrypted (HTTPS) connection,
• Only authenticated and authorised users can access the administration panel; passwords are stored irreversibly,
• Access to personal data is limited to authorised staff according to their duties,
• Protection against automated attacks and spam on the contact form (rate limiting, verification fields),
• Use of security headers and up-to-date software components, and regular backups of the database and files.

11. Special Categories of Personal Data

Please do not enter special categories of personal data (such as health, religion, ethnic origin or criminal convictions) or unnecessary personal information in the message field of the contact form. We do not need such information.

12. Children's Data

Our services and website are not directed at persons under 18. If you become aware that data of a person under 18 has been sent to us, please contact us and the data will be deleted.

13. Your Rights Under KVKK

Under Article 11 of KVKK, as a data subject you have the right to:

• Learn whether your personal data is processed,
• Request information if it has been processed,
• Learn the purpose of processing and whether it is used in line with that purpose,
• Know the third parties to whom data is transferred in Turkey or abroad,
• Request correction if data is incomplete or inaccurate,
• Request deletion or destruction under the conditions set out in KVKK,
• Request that correction, deletion and destruction be notified to third parties to whom the data was transferred,
• Object to an outcome against you resulting from analysis of the data exclusively by automated systems,
• Claim compensation for damages caused by unlawful processing.

14. How to Apply

You can send your requests regarding the rights above, together with information identifying you, in writing to the address above or by email to info@ibexteknoloji.com. Your application will be concluded as soon as possible according to the nature of the request and within thirty (30) days at the latest. If the process requires a separate cost, the fee in the tariff determined by the Personal Data Protection Board may be charged. If you find our reply insufficient, you retain the right to complain to the Personal Data Protection Board.

15. Changes to This Policy

This policy may be updated in line with changes in legislation or in our services. The current text is always published on this page and the "Last updated" date at the top is changed.
